On May 25th, 2018, the General European Data Protection Regulation (or GDPR - 2016/679/UE) has come into full effect. This regulation stipulates how all organisations, public and private, should manage the personal data of over 500 million European citizens.  The regulation replaces the European Directive on Personal Data Protection (95/46/CE) that came into effect in 1995. Even if GDPR has already been active since May 24th, 2016, organisations had 2 years to conform. This page describes how the EPS Condensed Matter Division (EPS-CMD) uses your data. A key notion of GDPR is consent. You may give (or withhold) your consent with respect to the policy of EPS-CMD . You may also request, by email, the verification, correction, or suppression of your data from EPS-CMD files ; if you do not wish to receive the EPS-CMD Newsletter any longer, you may simply ask for you to be removed from the mailing list. In the absence of notification on your behalf, EPS-CMD will tacitly assume that you accept its policy and the manner in which EPS-CMD functions as far as data treatment is concerned.

 

Collection of information

In order to be able to send out the EPS-CMD Newsletter, to make targeted announcements as to scientific and other activities that are of interest to the Condensed Matter Physics community, to issue calls for the EPS-CMD's conferences and prizes, to know condensed matter physicists across Europe, and to establish, whenever possible, a personal relationship with them, EPS-CMD maintains a database of EPS members affiliated to EPS-CMD, as well as a broad database of Condensed Matter physicists across Europe. This data base collects the following information : 

  • (Family) Name
  • First name
  • Email address
  • Laboratory
  • Participation in EPS-CMD conferences
  • Participation in / Organization of Minicolloquia in EPS-CMD conferences
  • Manner by which your data were collected.

EPS-CMD obtains, or has obtained, this information from the following sources:

EPS-CMD abstains from any forwarding of this information to third parties, whatever the request or demand. However, some exceptions may hold (see "Disclaimer" below).

You may consent, or not, to the use of your personal data by email to the EPS-CMD Chair. Your may also, at all times, ask for verification of your data, request the your personal data held by EPS-CMD , or ask for the suppression of your personal data from the EPS-CMD database and / or the  EPS-CMD mailing list, by email to the EPS-CMD Chair.

CMD Newsletter

In order to send the EPS-CMD Newsletter, EPS-CMD uses the "Mailchimp" platform.  For this, the EPS-CMD chair furnishes the above-said data to the "Mailchimp" platform. The subscription to the EPS-CMD Newsletter implies that you express your consent as to the EPS-CMD chair 

  • Transfering your personal data to the "Mailchimp" platform
  • Storing your personal data in the EPS-CMD MailChimp account; 
  • Sending you email using  the EPS-CMD MailChimp account; ;
  • Following your interactions with the EPS-CMD Newsletter (opening of the Newsletter email message / clicking on the different links contained by it).

It is, at all times, possible to consult your data, or to change them, by clicking, at the end of each EPS-CMD Newsletter, on the lefthand link "update your preferences" in the section

Participation in events and registration 

EPS-CMD regularly organises scientific events, for which it may publish registration forms asking for name, first name, affiliation, and participation details, such as related to your scientific contribution, lodging, and / or participation in meals.  These data are shared with the local organising committee so that this may organise the logistics related to the event. Note that such data may also be used by EPS-CMD for statistical purposes. They may also be shared, in a very limited manner, with the organisers of other EPS events, with the purpose of stimulating and promoting the constitution of professional networks.

Analytics

The EPS website and the EPS-CMD pages contained by it use certain analytics solutions for tracking users. If you do not wish to be tracked, there exist certain different options that can be added to your web browser free of charge.  

Disclaimer 

EPS-CMD will take all reasonable measures and precautions to ensure that your personal data are protected.  Nevertheless, you must recognise that there are certain limitations liked to the very nature of the internet and its use, that fall outside of the control of the EPS-CMD chair. If every effort is made to preserve the eminently private nature of user data, certain situations, such as, e.g., those arising in the framework of a legal procedure or a police investigation may require the transfer of certain data to a third party.

The EPS-CMD webpages may contain links to third party websites. EPS-CMD is not responsible for the practices and policies of those sites, including their policies as  to the protection of personal data. EPS-CMD encourages all users to read the privacy and security policy of any third party website before furnishing any data on these sites. All points listed on this webpage concern only the webpages of EPS-CMD, and EPS-CMD publications, such as the EPS-CMD Newsletter.

Corrections / Updates / Suppression of personal data

If your personal data change, or if you no longer wish to be listed in the EPS-CMD data base, EPS-CMD will correct, update or delete your personal data, on the condition that you make a request to this effect by  email to the EPS-CMD Chair.

Modifications to privacy policy

EPS-CMD may modify, augment, or delete parts of, or all of its privacy policy. Such changes will be advocated on this web page.
